Scope of this policy

This policy explains how we collect, use, store and share personal data when you visit the Equity Fountain website, create an adviser account, take out a membership, use the platform's tools, or contact us. It applies to business contacts and professional users; it is not a privacy notice for your own clients, for whom your firm remains the controller.

Personal data we collect

Account and firm data you provide at registration: name, work email address, company or firm name, job title, telephone number, and FCA firm reference number where you choose to give it. Billing data: subscription plan, payment status, renewal date, invoices and receipts. Usage data: pages viewed, searches run, calculations performed, reports and presentations generated, Fountain AI queries, bookmarks and alerts. Correspondence: enquiries you send us and our replies. Technical data: IP address, browser type, and session cookie information necessary to keep you signed in.

Client information you enter

Saved client cases, illustrations, reports and presentations are private to your account. We ask you to use a client reference rather than a full name wherever practical, and to enter only the information needed for the purpose. Please do not enter special category data (for example health data) about your clients. Where you do enter client personal data, your firm is the controller and Equity Fountain acts as a processor on your instructions.

Lawful bases for processing

Performance of a contract: creating and administering your account, providing the platform, and taking payment for your membership. Legitimate interests: securing the platform, preventing fraud and misuse, producing aggregated analytics to improve the service, and maintaining the integrity of our verified-data audit trail. Consent: marketing communications only, which you give separately and may withdraw at any time without affecting your subscription. Legal obligation: keeping accounting, VAT and financial-services-related records.

Marketing and consent

Marketing consent is recorded, stored and managed separately from the data required to fulfil your subscription. Ticking or leaving blank the marketing option has no effect on your membership. You can withdraw consent at any time by updating your account preferences, replying to any marketing email, or writing to us at the registered address.

Cookies and similar technologies

We use a strictly necessary, httpOnly session cookie to keep you signed in securely. We do not use advertising cookies or third-party tracking pixels. Your browser can block cookies, but the members' area will not function without the session cookie.

Payments

Card payments and subscription billing are processed by Stripe Payments UK, Ltd. and its group companies as an independent controller for payment and fraud-prevention purposes. Equity Fountain never sees or stores full card numbers. Stripe's own privacy policy governs its processing; we receive only the subscription status, customer reference, invoice records and receipt links needed to manage your membership.

Processors and recipients

We share personal data only with service providers acting on our instructions, under written terms: our cloud hosting and database provider, Stripe for payments, and our email delivery provider for transactional and (where consented) marketing messages. We do not sell personal data and we do not share it with providers of equity release products for marketing purposes. We may disclose data where required by law, regulation or a court order.

International transfers

Personal data is stored within the United Kingdom or the European Economic Area wherever possible. Where a processor transfers data outside the UK, we rely on UK adequacy regulations or the UK International Data Transfer Agreement or Addendum, together with appropriate technical safeguards.

Security

We use role-based access control, encrypted transport, hashed passwords, httpOnly session cookies, least-privilege administrative access, and an audit log of administrative changes. Access to member and client data is restricted to personnel who need it to operate the service.

Retention

Account and membership records are retained for the life of the membership and for six years afterwards, to meet accounting and financial-services record-keeping expectations. Saved cases, reports and presentations are retained until you delete them or your account is closed, then removed within 90 days. Enquiry correspondence is retained for two years. Aggregated analytics that no longer identify an individual may be kept indefinitely.

Your rights

You have the right to be informed, and rights of access, rectification, erasure, restriction of processing, data portability, and objection to processing based on legitimate interests. Where processing is based on consent, you may withdraw it at any time. To exercise a right, write to us at the registered address or use the contact page; we respond within one month. You may complain to the Information Commissioner's Office (ico.org.uk, 0303 123 1113) if you are unhappy with how we handle your data, although we would welcome the chance to resolve matters first.

Automated decision-making

Equity Fountain does not make automated decisions about you that have legal or similarly significant effects. The platform's calculators, product matching and Fountain AI outputs are research and educational tools; they make no suitability decision about any client and do not profile you.

Changes to this policy

We review this policy at least annually and whenever the service changes materially. The date below shows when it was last updated; material changes will be notified to account holders by email.
